1. Who We Are

 

Sintaxon is operated by Eidolink Digital LTD, company number 17263092, with its registered address at 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ (“Sintaxon”, “we”, “us”, or “our”).

We are the controller of the personal information we process to operate sintaxon.com, administer accounts, provide our music and audio services, manage purchases, and communicate with users, except where a different role is expressly explained for a particular service.

This Policy explains how we handle personal information relating to visitors, account holders, customers, people who contact us, and individuals whose information appears in submitted content. It applies alongside our Terms and Conditions. It is a privacy notice, not a request for consent to every processing activity described below.

2. Information We Collect

 

2.1. Account and contact information

Information supplied when registering, maintaining an account, making a purchase, or contacting us includes your email address, password or associated authentication information, full name, country, telephone number, and address. We also process your account identifier and information about your account status.

Where a form requests information, it should indicate which fields are required. If you do not provide information necessary to create an account, fulfil a request, or comply with a legal obligation, we may be unable to provide the relevant service. Optional information is not a condition of accessing unrelated features.

2.2. Prompts, uploads, and generated content

Depending on the feature you use, we process prompts, lyrics, text, images, music, audio recordings, voice recordings, other supported files, and the resulting generated or processed content. This includes settings and associated information necessary to handle a request, such as file format, duration, and request identifiers.

These materials may contain personal information about you or others, including names, voices, images, and information contained in recorded speech or file metadata.

2.3. Axon and transaction information

We process information about Axon purchases, balances, use, promotional awards, refunds, and related transactions. Transaction records may include purchase amounts, currency, date, transaction reference, payment status, and payment or refund information supplied by the payment provider.

Payments are processed by a third-party payment provider. Sintaxon does not store payment card details. Payment information entered into the provider's payment interface is handled by that provider under its applicable privacy information. We receive transaction status and details needed to administer purchases and resolve payment issues.

2.4. Communications

If you contact us, we process the information you provide, correspondence, attachments, and records necessary to address support requests, complaints, rights requests, and reports of suspected misuse or infringement.

2.5. Technical and service activity information

Technical information processed in connection with operating the Platform may include IP addresses, browser and device information, operating system, access times, session information, feature requests, error records, and security events. The information relevant to a particular interaction depends on the feature and technical system involved.

Cookies and similar technologies are addressed separately in Section 8. This section does not itself authorise optional advertising or analytics tracking.


3. Sources of Information

 

We receive information directly from you through forms, uploads, generation requests, purchases, and correspondence; from your device when you interact with the Platform; and from payment providers when they confirm transactions or provide information needed to address a payment issue.

We may also receive personal information contained in another user's uploaded material, support request, or infringement report. In those cases, the source is the person submitting that material. Relevant information may also be received from advisers or competent authorities in connection with a specific dispute or legal matter.

If you believe that someone has submitted your personal information without authorisation, contact frequency@sintaxon.com and provide enough information for us to identify and assess the issue.


4. Purposes and Legal Bases

We use personal information to create and manage your account, process your requests, deliver generated content, administer Axon purchases and balances, and respond to support enquiries. Where this processing is necessary to provide the services you request, we rely on the performance of our contract with you.

We also process relevant information to maintain the Platform’s security, prevent fraud and misuse, investigate technical issues, and protect our legal rights. We rely on our legitimate interests for these purposes, taking account of your rights and reasonable expectations. Where uploaded content contains another person’s personal information, we assess the appropriate legal basis separately; our contract with you does not itself authorise processing their information.

Certain information is retained or disclosed to meet legal obligations, including applicable accounting requirements and lawful requests from competent authorities.

Where consent is required, including for certain promotional communications or optional cookies, we obtain it separately. You may withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal.

We use personal information only where an appropriate legal basis exists. Sensitive personal information requires additional safeguards and legal conditions; uploading it does not automatically authorise its use.


5. AI Processing, Voices, and User Content

 

The Platform processes submitted material to perform the feature you request, such as music generation, audio editing, transcription, dubbing, voice transformation, or file conversion. Relevant information may be passed to technology providers necessary to carry out that request.

Your prompts, uploaded files, voice recordings, and generated outputs are not used to train AI models. Processing material to generate or transform an output in response to a request is distinct from using it to train a model.

Uploads and outputs are private within the Platform and are not made publicly accessible to other users by default. Privacy within the Platform does not prevent processing needed to provide the service, address support or security issues, investigate reported misuse, or comply with law. Access for these purposes must be limited to what is necessary.

Only submit information about another person where you have a lawful basis and any required permissions to do so. Avoid including unnecessary personal details, highly confidential information, or sensitive information such as health information, political opinions, or information about sexual life.

A recording of a person's voice can be personal information. It is not automatically special-category biometric data simply because it contains a voice; that depends on how it is technically processed and used, including whether it is used to identify someone uniquely. This Policy does not authorise the use of uploaded voices for biometric identification.

If content contains personal information requiring special protection, we may need to restrict or remove it where there is no lawful basis or additional legal condition for processing it. User permission to upload a file does not remove our own data-protection responsibilities.


6. Recipients of Information

We use secure hosting infrastructure to store personal information, with safeguards designed to protect it against unauthorised access, loss, or misuse. Information may be processed by service providers where necessary to operate the Platform, deliver requested services, or comply with legal obligations.

Payments are handled by third-party payment providers. Sintaxon does not store payment card or other payment-method details. We retain only transaction information needed to administer purchases, Axon balances, refunds, and related enquiries, such as transaction references, amounts, currencies, dates, and payment status.

7. Cookies and Similar Technologies

Cookies, local storage, and similar technologies can support functions such as authentication, session management, security, and remembering preferences. The technologies actually used, their purposes, providers, and durations must be described in the website's applicable cookie information.

Where optional analytics, advertising, or other technologies requiring consent are offered, they must not be activated before the required consent has been obtained. You must be able to refuse them and withdraw consent through the available preference controls. Continuing to browse is not, by itself, consent to optional tracking.

Browser settings can also be used to manage cookies. Blocking technologies necessary for requested features may affect functions such as signing in or maintaining a session. This Policy does not claim that a particular analytics or advertising product is installed.

8. Service Communications and Marketing

We use your contact details for communications necessary to administer your account, respond to enquiries, and provide information about relevant transactions, security, and legal matters.

If we offer promotional communications, we will explain the relevant use of your information when collecting your preferences and obtain consent where required. You can object to direct marketing at any time, use an unsubscribe option in a promotional message where provided, or contact frequency@sintaxon.com. Opting out of marketing does not stop essential service communications.

9. Retention and Deletion

We retain personal information for no longer than necessary for the purpose for which it is processed. The relevant criteria differ between record types:

  • Account information: whether the account remains active, whether particular information is needed to provide account functions, and whether closure, a dispute, or a legal obligation requires limited retention.

  • Uploaded files and outputs: whether the material remains necessary to fulfil your request or provide the associated account feature, whether deletion has been requested, and whether specific legal or security grounds justify retaining it.

  • Axon and transaction records: the need to administer balances and refunds and meet applicable accounting, tax, and record-keeping requirements.

  • Support and complaint records: the time needed to resolve the matter, follow up on the resolution, and address relevant claims or legal obligations.

  • Technical and security records: their usefulness for fault investigation, incident detection, fraud prevention, and a specific ongoing investigation.

Account closure does not necessarily require immediate deletion of every record, particularly records that must be retained by law. Information retained after closure must be limited to the purposes justifying retention, rather than kept for unrelated use.

Where backup copies exist, deletion may take effect through their normal replacement cycle. Information awaiting removal from backups must remain protected and must not be restored to ordinary use without reapplying relevant deletion requirements. Once retention is no longer justified, information should be deleted or irreversibly anonymised.

10. Security

We are responsible for applying technical and organisational measures appropriate to the nature of the information and the risks of processing. These include controlling authorised access and protecting information against unauthorised disclosure, alteration, loss, or misuse. This Policy does not promise that any system is entirely secure.

You should use a strong, unique password and avoid sharing credentials. If you permit someone else to access your account, they may be able to see your information and content. Contact techcrew@sintaxon.com promptly if you suspect unauthorised access. Your responsibility for account security does not remove our own legal obligations.

11. Your Privacy Rights

Depending on the applicable law and the circumstances, you may have rights to:

  • Obtain access to your personal information and information about its processing.

  • Correct inaccurate or incomplete information.

  • Request deletion of information when there is no lawful reason to retain it.

  • Restrict processing in specified circumstances.

  • Receive certain information in a portable format or request its transfer to another controller, where applicable.

  • Withdraw consent where processing relies on consent, without affecting the lawfulness of earlier processing.

  • Obtain safeguards in relation to qualifying automated decisions, including human intervention and an opportunity to challenge a decision where the law provides those rights.

Your right to object: You may object, on grounds relating to your circumstances, to processing based on legitimate interests. We must then stop unless we establish an applicable overriding justification or need the information for legal claims. You may object to processing for direct marketing at any time, without giving a reason.

To exercise your rights, email frequency@sintaxon.com. We may request proportionate information to verify identity or clarify your request. You do not need to pay a fee in ordinary circumstances. We will respond within the applicable statutory period, generally one month under UK or EU GDPR, subject to lawful extensions and other applicable timing rules. If we cannot fulfil a request, we will explain the reason and the available complaint options.

Rights are subject to legal conditions and exceptions. For example, deletion may not apply to information we are legally required to retain. Withdrawal of consent for an optional purpose does not automatically end processing that is necessary on a different lawful basis.

12. Automated Processing

AI features process information automatically to produce the output you request. This does not by itself mean that we make a decision about you with legal or similarly significant effects.

Any separate use of solely automated decision-making with such effects requires the applicable legal basis, safeguards, and clear information about the decision, the information used, its main logic, and its likely consequences. This Policy does not serve as advance authorisation for undisclosed automated account, fraud, or eligibility decisions. Contact frequency@sintaxon.com with questions about a decision affecting you.

13. Age Restrictions

Sintaxon is intended for people aged 18 or over. Users under 18 must not create an account or use the Services. If you believe that a person under 18 has provided information in breach of this restriction, contact us so that we can investigate and take appropriate action, including restricting the account and deleting information where appropriate and legally permitted.

The account age restriction does not make it lawful to upload information about a child without the permissions and safeguards that the circumstances require.

14. Complaints

You can raise a privacy concern with us at frequency@sintaxon.com. You also have the right to complain to the UK Information Commissioner's Office (ICO) through ico.org.uk/make-a-complaint.

Where EU GDPR applies, you may also complain to a competent supervisory authority in the EEA, particularly in the country where you live, work, or where the alleged infringement occurred. You do not have to complete our internal complaint process before contacting a regulator.

15. Changes to This Policy

We may update this Policy to reflect changes to our services, data practices, or legal obligations. The current version and its effective date will be available on the Platform. We will provide additional notice of material changes where required and obtain fresh consent where legally necessary. An update to this Policy does not automatically authorise a new or incompatible use of previously collected information.
